What is an Org Chart Report?

When you create an org chart in BigPicture, you have the option of creating a corresponding report on a separate worksheet as well. This is a more tabular presentation of the data, and it is especially useful if the org chart contains calculations, such as the total salary of supervisors and all employees reporting to them. The calculations in this report, as in the chart itself, are linked to the underlying data, so that they change automatically if the data change. If you like, you can also create a pdf of this report.

Create the org chart

Start with a data set such as the following (one of the BigPicture example spreadsheets).

Select New Org Chart

Select New Org Chart from the Org Chart dropdown list to get to the Organization Chart dialog. More details about filling in this dialog can be found in the other Org Chart help topics. The steps are only sketched here.

Define the Structure

Fill in the Definition tab in the usual way.

Optionally, add markers for the org chart. These will appear in the report.

View the org chart

The org chart appears as shown here. You can collapse and expand in the usual way, and you can see markers and calculations, the latter by clicking the summation sign buttons.

Create the report

Make sure the Org Chart sheet is active, and then select Create Report from the Org Chart dropdown list.

PDF option

You can choose whether to save the report as a PDF. In any case, the report will be created on a new worksheet.

View the report

The report appears in a new worksheet and is straightforward. The requested calculations appear in the Supervisor Rollup columns, one of the markers appears in the column to their left, and the other marker (the note on the employee's annual review summary) appears in the last column. Again, this report is live, so if the original data change, the report will update automatically.

Collapse or expand

For each employee who supervises someone, there is a link on the employee's name that lets you collapse or expand. In the example below, James Larson was collapsed, so that only the people who report directly to him are shown.

Here is an example where the chart was collapsed so that only the CEO and his direct reports are shown, and they were sorted (using Excel's Z to A button) in decreasing order of head count.

Other Collapse/Expand Options

You can also collapse and expand from the Report View dropdown list. These are "report-wide" options. For example, if there are five levels of employees, one click of Collapse will show only the first four levels of employees, a second click will show only the top three levels, and so on. Then clicks of Expand will reverse the process. The Reset option doesn't undo the collapsing, but it restores the sort order of the report to the original sort order in case you made changes.
